Name-Based Case Searches
Start any Bartholomew County docket search at the free Indiana MyCase search. Pick the Name tab first. Then choose Bartholomew County in the Court control. The default searches every Odyssey court in the state. A last name or business name is enough to run the query. A first name, middle name, or birth date will narrow things down. The county filter does the real work here. Columbus, Hope, Elizabethtown, Hartsville, and Clifford have no separate court options in the selector.
- Open MyCase and choose the Name tab. Ordinary public searching does not require an account.
- Select Bartholomew County, then enter a last name or business name. Add first, middle, or birth date details when known.
- Use Open, Closed, or All status and a filing-date range to trim a long Bartholomew County result set.
- Read the court name, case number, type, file date, and status before opening the matching Case Summary.
The official MyCase search screen shows the live tabs and controls before you type anything.
That layout explains the first move in any Bartholomew County case search. Choose the right tab and the right court scope before running the query.
| Field Label | Type | Required | Format or Use |
|---|---|---|---|
| Last | Text | For a person | Up to 40 characters; a trailing asterisk can run a starts-with search. |
| First / Middle | Text | No | Up to 40 characters each; use them to narrow common names. |
| Birth Date | Date | No | Enter as mm/dd/yyyy when known. |
| Business | Text | Alternative | A business name can replace the personal-name fields. |
| Court | Selector | No | Choose Bartholomew County instead of All Odyssey Courts. |
| Status / File Date | Filters | No | Limit results by open or closed status and filing window. |
Bartholomew County Docket Search Tabs
MyCase splits a Bartholomew County docket search into three tabs: Case, Name, and Attorney. Each tab takes its own kind of key. The Case tab wants a case number, citation number, or cross-reference. The Name tab accepts a person or business. The Attorney tab takes an attorney name or bar number under the portal's rules. These paths stay separate, so typing a citation into the name fields gets you nowhere.
Case fields cap at 30 characters. For attorney searches, bring a bar number. Or bring enough name detail to satisfy the official instructions. The sounds-like option catches spelling variants, but it cannot be paired with wildcard searching. A trailing asterisk acts as a starts-with search. A field made only of a wildcard is rejected, and suffix-only searches are not supported.
The official Indiana MyCase search tips spell out these limits. They add one more rule. Any result set over 1,000 entries will not be returned.
That warning points to one simple habit. Narrow the court, status, date range, or spelling before concluding a Bartholomew County case does not exist.
Case Number Searches
A full Bartholomew County case number is the cleanest search key you can use. Indiana's current format has four parts. It stacks a five-character county and court ID, a four-digit year and month, a two-character case-type code, and a six-digit sequence. A Bartholomew County example is 03D02-YYMM-IF-000123. Take the number straight from your notice or filing. Guessing the last six digits rarely ends well.
The county code is 03. Circuit Court uses 03C01, Superior Court I uses 03D01, and Superior Court II uses 03D02. C stands for Circuit and D for Superior. Common case-type codes include IF for infraction and F6 for Level 6 felony. CT stands for civil tort. CC is civil collection, and DC is domestic relations with children.
Official tips say the leading zeroes and hyphens may be optional. The full printed format cuts down confusion. Citation numbers are different, with no single statewide format, so they may need exact entry. If a case moved between courts, the sequence can stay the same. The court identifier changes. When the first version of a number fails, try the earlier one.
Bartholomew County Docket Citation Searches
Do not treat a citation number and a case number as the same thing. MyCase offers Case Number, Citation Number, and Cross Reference as separate options on the Case tab. Officials say to use one at a time. Type the citation exactly as printed, since citation formats vary. If it fails, fall back on the party name. The Bartholomew County court case number works too.
Traffic payment lookup lives elsewhere, in Indiana ePay. A payment result is not the full Chronological Case Summary. For filed events, hearing history, and disposition fields, go back to MyCase. Open the public Bartholomew County Case Summary.
Bartholomew County Docket Search Guardrails
A CAPTCHA after you hit Search is an anti-data-mining check, not a sign that your Bartholomew County docket disappeared. The portal does not show the prompt on every attempt. A failed search can also mean too many matches. It could be a spelling slip, the wrong court filter, or an exact citation mismatch. Change one factor at a time and try again.
The official MyCase terms lay out the service's boundaries. MyCase is free public access, but automated collection and heavy load are barred. The bigger point for anyone tracking a case: keep this in mind. The online information is not the certified court record. It can contain errors or omissions.
The terms make the practical rule plain. Before relying on a key Bartholomew County docket entry, check it with the clerk.
No result is not a finding. Recheck the county, exact case number, spelling, status, date range, confidentiality, and record age before calling the Clerk.
Case Search Results Explained
A Bartholomew County result row can carry a lot. It may show the case number, court, file date, status and status date, and type and subtype. The row may also list the caption or style, parties, attorneys, citations, charges, and public or active flags. Open the Case Summary for the full chronological layer. There you may find events and hearing settings. Charges, bonds, dispositions, sentences, cross-references, financial entries, and document metadata appear too. Access and case type determine how much appears. Think of the row as the index and the summary as the story.
| Case Number | The 03 county code, court ID, year and month, type, and sequence. |
|---|---|
| Court and File Date | The Bartholomew County trial court holding the case and when it entered the system. |
| Status | Open, closed, or decided status with a separate status date; it is not a finding by itself. |
| Events | The Chronological Case Summary, or CCS, listing filed, issued, scheduled, and entered acts. |
| Hearing Events | Court name, session date and time, judicial officer, result, settings, and any cancellation reason. |
| Documents | Metadata and public downloads where allowed; an event does not ensure that its document image is public. |
Verbs do a lot of work on a docket entry. Filed, scheduled, issued, and appearance entered mark steps in the case file. A motion entry is still a request. It does not prove a claim, a charge, or a motion granted. Closed is only a case status. Read each charge and judgment on its own line. The Bartholomew County Court Schedule breaks down the hearing fields in more detail.
Indiana's MyCase help page spells out its coverage. It also covers document limits, payments, and public access.
On that help page, a Bartholomew County Case Summary sits in context. It is useful public access. Still, not every court document or year appears online.
Bartholomew County Docket Document Requests
Searching MyCase over and over will not make a document appear. The site does not show every case document. When you have a cause number and still need one, use the Clerk's embedded Public Information Request form. It can be emailed to you. The form asks for name, company, email, phone, and cause number. A detailed description is required too. So is an email-copy option and a CAPTCHA before you submit.
The Clerk emails a qualifying request within seven business days. That route does not promise a certified copy. Nor does it promise a transcript, a sealed filing, or the paper file itself. For certified copies or a full inspection, ask the Clerk which method fits.
Bartholomew County Dockets Since 2016
Bartholomew County's three Odyssey courts went live on December 5, 2016. That switch explains a lot. A current Bartholomew County docket search and a hunt for a much older file may not behave the same way. It is not a hard digitization cutoff for every record, and no published cutoff exists.
For material from the 1800s into the early 1900s, turn to the Bartholomew County Archives. It offers an online category search. Phone and mail requests work too. Its collections cover Circuit, Civil, Common Pleas, Estates, Probate, and Will records. Call 812-379-1503, or mail a request to 234 Washington Street, Columbus, IN 47201. The Archives does not email documents. It charges a $1 base fee, $0.10 per copy, and mailing costs.
Current material missing from MyCase belongs first with the Clerk of the Bartholomew Circuit Court. Older material may sit with County Archives or the Indiana State Archives. Custody and age drive that split. Where the person lived, city or town, does not.
Two Ways to Search: County and State
Bartholomew County offers no second, deeper county-only search portal. Indiana MyCase serves as both the statewide public layer and the county's online public route, since Circuit, Superior I, and Superior II all feed Odyssey. The real choice is between a broad statewide search and a Bartholomew County-filtered search inside the same service.
| Search Scope | Coverage | Best Use | Limit |
|---|---|---|---|
| All Odyssey Courts | Participating Indiana trial and appellate courts | Finding an Indiana case when the county is not known | Common names can exceed the result ceiling. |
| Bartholomew County | 03C01, 03D01, and 03D02 | A known local filing, hearing, citation, or party | Restricted, older, and non-Odyssey records may be absent. |
| Clerk and Archives | Official current files and historic county holdings | Copies, certification, missing documents, or old volumes | Requests depend on custody, format, fees, and access rules. |
The current public route remains available from the MyCase search entry.
The statewide entry lets you narrow a Bartholomew County docket search to the county's Odyssey courts. That filter is the live layer behind the county view.
Bartholomew County Case Search Access Views
Public, party, and attorney access are three different views. Public MyCase needs no account and shows eligible non-confidential cases. A party can request authenticated access. An Indiana Courts account and a unique access code unlock that party's allowed documents. Party access is capped at ten requests per day. None of it creates a route around a seal or confidentiality rule.
- Public access
- The no-account view of eligible non-confidential Bartholomew County case summaries and available documents.
- Party access
- An authenticated view for a case party with a court-issued access code and rights tied to that case.
- Attorney access
- Professional account access governed by attorney identity, representation, and Indiana court systems.
- Certified record
- A copy authenticated through the Clerk, not a printout treated as official merely because it came from MyCase.
E-filing is separate too. Indiana's certified filing providers submit documents, but their login is not a public Bartholomew County docket search. After filing, the Clerk keeps the county court record and remains the source for certification, current financial detail, and case-specific access questions.
Bartholomew County Docket Custody Routes
Custody decides the next channel. The Clerk holds county court filings and certified copies. A court reporter handles transcripts and recordings. County Archives keeps historic local volumes, while the Indiana State Archives holds other older Bartholomew order books. Federal filings go to the Southern District of Indiana and PACER. Driver-history records belong to the Indiana BMV, not the court docket.
This division keeps a Bartholomew County docket search focused. Start with MyCase for the public case index and chronology. Then ask the office that actually holds the record. Do not send the same request to several unrelated agencies.
Which Cases Stay Restricted
Indiana starts from a presumption of openness. Not everything in a court file is public. A Bartholomew County docket search can come back thin because the case itself is confidential. Juvenile matters, adoptions, mental-health cases, sealed files, and expunged records fall outside ordinary access. Juvenile records stay confidential under state law as a general rule. An expungement that a judge granted may erase the case entirely. Sometimes a docket entry stays visible while the filing behind it cannot be downloaded.
Indiana Access Rule 5 spells out which categories are excluded. There is still a door, though. Access Rule 9 sets up a verified request process. It weighs extraordinary circumstances, public interest, and potential harm. Notice follows, with either a hearing or a written order. A simple public-record letter will not pry open a sealed court file on its own.
When a case's public status is unclear, call Clerk Shari Lentz's office at 812-379-1600. The Clerk sits at 234 Washington Street, and counter hours run 8:00 AM to 5:00 PM. Mailing works too: P.O. Box 924, Columbus, IN 47201. The published fax number is 812-379-1675. The Clerk's embedded request form handles cause-numbered electronic documents that can be emailed. It promises a response within seven business days of submission. Certified copies and full-file inspection take direct instructions.
Federal cases filed in Bartholomew County never touch MyCase. They live in PACER or the Southern District of Indiana CM/ECF. Transcripts and recordings belong to the court reporter. State appellate work can be searched through MyCase's appellate options. Each route fits a different kind of record. A missing result usually means the case sits in a different place, not that it vanished.
When Bartholomew County Docket Search Fails
Run the least disruptive checks first. Confirm the 03 county code, the right court, the spelling, the full case number, the open or closed filter, and the file-date range. The list sounds long. It takes a minute at most. Then ask a different question. Might the case be confidential, sealed, expunged, juvenile, older than the online material, federal, or simply held outside the Clerk's file?
If timing or status is the puzzle, call the assigned court directly. The numbers are: Circuit at 812-379-1605, Superior I at 812-379-1623, Superior II at 812-379-1610, Small Claims at 812-379-1620, Juvenile at 812-379-1606, or Traffic Court at 812-379-1577. The Clerk's office handles copies, current financial detail, and anything not displayed online. Counter visits and mail both work as alternatives. Before you go, ask about public-terminal access and current copy methods.
Choose the custodian. Use the Clerk for the court file, a reporter for transcripts, Archives for old county volumes, and PACER for federal dockets.
Working that sequence keeps a Bartholomew County docket search pointed at the right record, and it stops one quiet portal from being mistaken for proof that no case, hearing, or protected file exists.
